Plan a hybrid event

Design one coherent event for in-room and remote participants with equitable content and interaction.

Procedure

  1. Define outcomes, audiences, locations, time zones, access needs, and what must be shared or distinct.
  2. Choose session formats that support equitable listening, contribution, questions, networking, and breaks.
  3. Map room audio, cameras, displays, remote platform, captions, interpretation, moderation, chat, and recording.
  4. Assign in-room and remote hosts, producers, support, access, and escalation roles.
  5. Design identity, consent, participation, harassment, privacy, and recording boundaries across channels.
  6. Provide remote speakers and participants with technical checks, alternatives, and low-bandwidth paths.
  7. Rehearse feedback, echo, platform loss, remote speaker loss, caption failure, and room-network failure.
  8. Publish accurate participation instructions and monitor both audiences during delivery.

Guardrails

  • Do not call a livestream hybrid participation if remote people cannot meaningfully access or contribute.
  • Never expose private chat, attendee lists, home environments, or recordings without proper notice and control.
  • Do not let remote failure interrupt emergency, safety, or access communication.
