Plan a photo shoot

Plan a safe, efficient photo shoot around required images, people, location, rights, equipment, and fallback coverage.

Work backward from the images that must be delivered. Protect people, rights, equipment, and irreplaceable moments.

Procedure

  1. Confirm creative brief, audience, deliverables, usage, formats, deadline, budget, and approval owner.
  2. Build the required shot list and rank must-have, useful, and optional coverage.
  3. Scout locations for light, power, weather, sound, access, accessibility, privacy, permits, hazards, and backup options.
  4. Schedule subjects, crew, setup, transitions, breaks, travel, releases, and contingency time.
  5. Prepare camera, lens, lighting, support, power, media, tethering, weather, and safety plans.
  6. Verify appearance, product, prop, location, artwork, trademark, and model permissions.
  7. Create call sheet, contact tree, load-in plan, file naming, backup, and on-set review method.
  8. Rehearse critical setups and define stop conditions for weather, crowd, fatigue, unsafe equipment, or lost consent.
  9. After capture, verify must-have frames, redundant backups, release linkage, and handoff.

Failure plan

  • Never pressure a subject to continue after consent changes.
  • Do not obstruct emergency access, create unapproved public hazards, or use unsafe rigging.
  • If rights or permits are uncertain, do not capture for intended publication.
  • Keep sensitive location, minor, and contact information restricted.
