Write a job description

Define a fair job from real outcomes, responsibilities, requirements, conditions, and compensation context.

Describe the work and evidence needed to perform it. Avoid copying an incumbent's biography or inflating requirements without job-related justification.

Procedure

  1. Confirm hiring authority, business need, employment type, location, reporting line, budget, and decision owner.
  2. Interview people who perform, depend on, manage, and are affected by the work.
  3. Identify the role's outcomes, recurring responsibilities, decisions, collaboration, tools, constraints, and first-year priorities.
  4. Separate essential entry requirements from learnable skills and preferred experience.
  5. Test each requirement for direct job relevance, accessibility, alternative evidence, and exclusion risk.
  6. State working conditions, schedule, travel, physical or environmental demands, and accommodations accurately.
  7. Include compensation range and benefits where required or approved, using the correct jurisdiction and policy.
  8. Write clear application instructions and the evidence candidates should provide.
  9. Review with HR, legal, compensation, accessibility, and the hiring team as applicable; version the approved text.

Failure plan

  • Do not use protected characteristics, coded demographic preferences, or unsupported credential and years-of-experience proxies.
  • Never promise compensation, flexibility, sponsorship, benefits, or advancement that is not authorized.
  • If an incumbent's work is changing, document the future role rather than laundering a person-specific decision.
  • Verify current employment and pay-transparency requirements for the applicable location.
