Prepare an insurance claim

Organize incident facts, damage evidence, expenses, communications, and open questions for an insurance claim.

Preserve facts and prevent further harm first. Policy coverage, liability, and valuation remain decisions for the insurer and qualified advisers.

When to use

  • Use after property, travel, vehicle, liability, or other insured events when documentation must be assembled.
  • For injury, danger, crime, major loss, or legal deadlines, contact emergency services, the insurer, and relevant professionals promptly.

Procedure

  1. Address immediate safety, emergency reporting, and reasonable loss mitigation without destroying evidence.
  2. Record the incident date, time, place, people, sequence, weather or conditions, and who observed what.
  3. Preserve dated photos, video, damaged items when safe, reports, receipts, estimates, ownership evidence, and communications.
  4. Create an itemized loss log with quantity, description, condition, value basis, evidence locator, and uncertainty.
  5. Record temporary expenses and mitigation work separately with receipts and purpose.
  6. Obtain the current claim instructions, reference number, required forms, submission channel, and deadlines directly from the insurer.
  7. Build a chronology and evidence index; distinguish firsthand fact, third-party statement, estimate, and interpretation.
  8. Submit only reviewed facts, keep a complete copy, and log every conversation, request, promise, payment, and open item.
  9. Reconcile any settlement explanation against the submitted inventory and ask for clarification on differences.

Failure plan

  • Do not repair, discard, stage, or alter damaged property before evidence and insurer instructions allow, except for safety or necessary mitigation.
  • Never invent cause, ownership, condition, value, coverage, or receipts.
  • Redact unrelated sensitive information and use approved channels.
  • Escalate unclear coverage, liability, denial, or material valuation disputes to qualified help.
