Plan a webinar

Plan an accessible live online session around a useful audience outcome.

Design the learning and interaction before choosing slides or promotion.

Procedure

  1. Define the audience, problem, practical outcome, and reason a live format is useful.
  2. Set the format, length, capacity, date, timezone display, platform, budget, and decision owner.
  3. Choose speakers and facilitator based on expertise and representation; confirm consent and availability.
  4. Outline the session arc, examples, demonstration, interaction, questions, and closing action.
  5. Define registration fields, privacy notice, recording consent, follow-up permission, and data retention.
  6. Plan captions, interpreters, keyboard access, visual descriptions, transcript, language, and accommodation requests.
  7. Build a production schedule for content, promotion, registration, speaker prep, technical rehearsal, reminders, and assets.
  8. Define host, moderator, technical producer, chat, safety, backup speaker, and incident roles.
  9. Rehearse timing, handoffs, media, captions, recording, fallback connection, and difficult questions.
  10. Set measures for attendance, participation, learning, next action, accessibility, and follow-up quality.

Guardrails

  • Do not advertise speakers, outcomes, recording, or continuing credit before approval.
  • Collect only necessary registration data and honor channel-specific consent.
  • Never assume a recording replaces accessible live participation.
  • Provide a clear code of conduct and moderation path for public sessions.
