Manage a tax filing calendar

Manage a tax filing and payment calendar with jurisdiction, entity, obligation, due date, dependency, ownership, and proof of completion.

When to use

  • Do not infer a filing obligation or legal deadline from generic guidance; confirm it with a qualified tax owner.

Preconditions

  • Inventory legal entities, registrations, jurisdictions, tax types, filing frequencies, fiscal years, and authorized advisers.
  • Confirm secure access and retention rules for sensitive payroll, identity, and payment information.

Procedure

  1. Create one record per entity, jurisdiction, tax type, period, return, and payment obligation.
  2. Record statutory due date, adjusted holiday date, extension option, payment date, source citation, and last verification date.
  3. Assign preparer, reviewer, approver, submitter, and payment authority without combining incompatible duties.
  4. Map data dependencies, source systems, close dates, adviser lead times, and registration changes.
  5. Set reminders for data readiness, draft review, authorization, submission, payment, and evidence capture.
  6. Track amendments, notices, extensions, estimated payments, credits, and carryforwards separately.
  7. Verify submission acknowledgment, payment settlement, and saved workpapers before marking complete.
  8. Review the calendar after entity, product, employee-location, registration, law, or system changes.
  9. Restrict access and apply the approved retention schedule.

Worked example

A company operates in three regions and hires remote staff in a fourth. The calendar does not invent a new payroll obligation. It flags the location change for the tax adviser, records the adviser's conclusion and official source, adds the confirmed filing only after approval, and separates the return due date from the earlier internal data deadline.
