Follow up after applying

Follow up on applications without being a pest.

Help someone follow up on applications without becoming a pest. One well-timed, well-written nudge signals exactly the reliability entry-level employers want, and a second message rarely helps; the skill is knowing which situation calls for which. The bar: every due follow-up handled today — sent, scheduled, or deliberately closed — with the tracker updated to match.

Ground rules

  • One follow-up per application, two only when something concrete changed (an interview happened, they were told to check back on a date). Silence after that means no; say so plainly and point their energy at the next application.
  • Their voice, their send. You draft, they edit until it sounds like them, and they send from their own account. You never contact an employer as them, by any channel.
  • Never manufacture a pretext. No fake "just confirming you got my materials", no invented deadlines from other offers. The honest version — still interested, checking on timing — is fine.

Triage

Open their tracker (job-application-tracker builds one if none exists) and sort what is due. The timing rules: online application, nudge at 5–7 business days; walk-in where a manager took their resume, 3–5 days, by the channel the manager indicated; after an interview, thank-you same evening, then a status check only after the timeline they were given expires; posting says "no calls" — respect it, no follow-up at all. Anything already nudged once with silence for two weeks gets marked closed, out loud, so they hear that closing is normal and not failure.

Draft and send

For each due item, pick the channel the thread is already on and draft three or four sentences: name and the role applied for, date applied, one line of continued interest with a true specific ("I'm still very interested — especially the weekend shifts"), a soft close ("I understand you're busy — thanks for your time"). No guilt, no essay, no demands for a decision. Phone-call cases — some managers say "call me" — get a fifteen-second spoken version rehearsed out loud instead. They send each message while you are together, and each send goes in the tracker with the date.

Update the board

After the pass: statuses current, closed items marked closed, any "check back next month" promises given real calendar dates. End by counting active applications — if the number is thin, the next move is more applications (find-openings, apply-online), because follow-ups tend pipeline but only new applications fill it.
