Dispute a billing error

Build an evidence-backed billing dispute, submit it through the right channel, and track the account through resolution.

Describe the discrepancy precisely and preserve deadlines. This procedure organizes evidence; it does not invent legal rights or guarantee a refund.

When to use

  • Use for duplicate, unauthorized, mispriced, cancelled, undelivered, or incorrectly credited charges.
  • For suspected fraud, account compromise, collections, or material legal consequences, use the institution’s urgent process and qualified advice.

Procedure

  1. Preserve the statement, invoice, receipt, order, contract, cancellation, delivery record, and prior communication.
  2. Record the exact charge, date, merchant, account suffix, amount, currency, and date discovered.
  3. State the discrepancy as expected versus observed and calculate the requested correction.
  4. Check the current provider, card, bank, or marketplace process, documentation requirements, and deadlines.
  5. Contact the merchant first when appropriate, using a factual request with attached evidence and a response date.
  6. If unresolved, submit through the authorized dispute channel and retain the full submission, reference number, and timestamps.
  7. Track temporary credits, promised corrections, account access, autopay, due dates, fees, and collection status.
  8. Reconcile every later statement; distinguish provisional from final resolution.
  9. Escalate through documented channels when deadlines pass, keeping the chronology intact.

Failure plan

  • Do not alter evidence, exaggerate unauthorized use, or dispute a valid charge merely to obtain leverage.
  • Never send full account, card, identity, or authentication data over an unverified channel.
  • Keep paying undisputed amounts when required by the applicable process.
  • If deadlines or rights are unclear, verify current authoritative guidance for the user’s jurisdiction and provider.
