Create an event budget
Build an event budget covering cost, income, contingency, timing, and control.
Procedure
- Confirm scope, capacity, currency, tax basis, funding source, authority, and reporting period.
- Estimate venue, production, access, speakers, travel, staffing, catering, security, insurance, marketing, registration, and closeout cost.
- Separate fixed, variable, committed, quoted, estimated, donated, and contingent amounts.
- Model attendance, ticket, sponsorship, grant, and other income with explicit assumptions.
- Include deposits, payment dates, cancellation exposure, cash timing, and a risk-based contingency.
- Build base, lower-demand, delay, cancellation, and high-cost scenarios.
- Assign budget owners, approval thresholds, purchase controls, and reconciliation cadence.
- Record changes and update forecast against actuals and commitments.
Guardrails
- Do not count uncontracted sponsorship or optimistic ticket sales as secured income.
- Never omit accessibility, safety, cancellation, tax, or payment-processing cost.
- Route tax, accounting, insurance, contract, and employment questions to qualified owners.
